The best candidate will have at least 3 years of experience in a busy office setting.
DUTIES AND RESPONSIBILITIES Main operator for busy switchboard; screen all calls and direct them to the appropriate person; accurately take handwritten messages as needed.
Greet incoming visitors.
Experience using Microsoft Word Office, Microsoft Excel, Outlook Mail.
Must be able to learn other software as required.
Accurately collect information from potential customers who are seeing quotes for work; give information to estimator for follow up.
Working with bonding company to secure bid bonds required for bids.
Gather information as necessary to prepare all governmental, municipal and private bid submissions.
Type all bids on required forms editing for accuracy and meeting bid submission deadlines.
Type proposals for estimators from handwritten script and prepare for signature on company letterhead in a timely manner.
Create and type all letters as required, editing for accuracy.
Assist all administration with any tasks that are requested which may include renewing business certificates, company licenses, insurance renewal etc.
Collect signatures on important documents as needed.
Work directly with business insurance company to request certificates of insurance for customers and any other situation that may arise.
Maintain accounts receivable backlog report and make the necessary calls to determine payment hold up; take the necessary steps to resolve issues.
Maintain e-mail on a daily basis and perform tasks as necessary.
Ability to use all office equipment including switchboard, copier, fax machine, printers, postage meter, calculator and typewriter.
Report needed repairs as necessary for quick resolution.
Maintain and order office supplies.
Notary Public a plus.
